Your privacy matters to us, which is why we adhere to the General Data Protection Regulation (GDPR). Below outlines what data we do hold and how we use it – we strongly suggest you read it and let us know if you have any questions or concerns.


What information do we collect?

If you have contacted us for a quote and/or we are providing an invoice for a completed job, your basic contact details provided will be stored in our online cloud based accounting software, including:

·         contact name
·         business name
·         contact telephone number
·         contact email address
·         contact address
·         location address (if different from contact address)

We do not process any payment information through our software and we do not record any banking details. We only record that a payment from you was received on a certain date.

If we have sent you any promotional literature, your basic contact details if available will be stored in an on premise database, including:

·         contact name
·         business name
·         contact email address

Why do we hold this information?
We do not sell or capture data for third parties. Any data we do collect is for our own business use.

We hold this data to ensure our quotes, invoices and any literature is sent to the right place. We also need to check when we have sent you something to ensure we do not bother you with any unwanted contact.

How long will you hold my data?
We fully comply with GDPR, which means that we will routinely delete data from both our accounting software and database. However, as a UK based company, we have an obligation under HMRC regulations to keep business records for 6 years.

Here is our retention schedule for the data we hold.

On premise database:

·         3 years from date of first literature sent; or
·         immediately if you have contacted us under the ‘right to be forgotten’ in GDPR; or
·         if you have contacted us for a quote or we have sent you an invoice, your information would have been deleted and moved to our accounting software

Online accounting software:

If you are no longer a customer, your information will continue to be held from the date of the last contact:

·         basic contact details (contact name, contact email address, contact telephone number) will be deleted after 3 years; and
·         other details (business name, contact address, date of contact) will be deleted after 6 years

Your rights

Under GDPR you have the right to access any data we hold on you. Please contact us if you would like to know what information we hold and your request will be treated as a subject data request.

You also have the right to be forgotten. So if you’re no longer a customer of ours, please contact us to see whether we continue to hold your data.
